How to use the website and your workspace (owner guide)

For owners

You are the organization owner — the person who registers the company and runs the account. This guide walks through the public website, your private workspace, and how to roll out inventory, sales, purchase, and accounting.
Two places, two jobs. The marketing website explains the product and lets you register. The workspace at /workspace/{your-company-slug} is where all ERP work happens — only people you invite can enter.

Part 1 — Public website (before you have a workspace)

What the homepage is for

Use the homepage to understand modules and pricing. Staff you hire later should not register from “Get started” on the homepage — that flow is for new company owners only.

Step 1: Create your organization

  1. Open registration

    Click Get started on the homepage or use the Create organization link.

  2. Fill company details

    Organization name, workspace slug (e.g. acme → /workspace/acme), optional company email and referral code.

  3. Create your owner account

    If not signed in, enter name, email, and password (minimum 8 characters). This account becomes the owner.

  4. Submit and enter the workspace

    On success you are redirected to the dashboard. If admin approval is required, ERP features stay locked until activation.

Step 2: Sign in later

  1. Go to Sign in on the website header.
  2. Enter your owner email and password.
  3. Click Workspace or open My workspaces if you belong to more than one company.
  4. Select your organization — you land on /workspace/{your-company-slug}.

Part 2 — Your workspace (where work happens)

Layout you will use every day

Left sidebar

Groups: Workspace, Inventory, Sales, Purchase, Accounting. As owner you see all groups your plan includes.

Top bar

Organization name, light/dark theme, account menu (profile, billing, help docs, sign out).

Main area

Lists, forms, dashboards. Search and filters sit at the top of most list pages.

Workspace menu — what each item does

Dashboard

Menu path: /workspace/{your-company-slug}

KPIs across modules. Start here each morning for open orders, stock alerts, and spend.

Team

Menu path: /workspace/{your-company-slug}/team

Read-only list of everyone and their role — verify access, not change roles.

Plan & billing

Plan & billing — every tab explained

Open Workspace → Plan & billing (/workspace/{your-company-slug}/billing). Only the organization owner can pay; invited staff see a view-only message.

Tab: Subscription

  1. Billing period

    Top card: Next renewal, Access ends, or Trial ends. Green = OK; amber = due soon or overdue; rose = access ended.

  2. Subscription ended

    Shown when your plan no longer unlocks the ERP. Use Choose plan dropdown → Renew with selected plan, or open the Change plan tab for the full grid.

  3. Your plan

    Active subscription: plan name, price, status chips. Pay now if checkout is pending. Compare plans links to the pricing tab.

Tab: Plans (first time) or Change plan (after expiry)

  1. Plans — pick a package when you have never subscribed.
  2. Change plan — same screen after subscription ended; compare all tiers.
  3. Each card shows price per year/month, trial note, and feature checkmarks.
  4. Buttons: Get started, Start free, Renew this plan (same tier), Upgrade (higher tier), Switch to this plan (lower tier).
  5. Standard is marked Most popular; your old plan shows Previous plan.

Tab: History

  1. Lists every platform payment for your organization.
  2. Download PDF on succeeded rows for your subscription invoice receipt.

Organization & team — every tab explained

Open Workspace → Organization & team (/workspace/{your-company-slug}/settings/organization). Team in the sidebar is only a read-only directory — invites and permissions are here. Full reference: docs/PLATFORM_ORGANIZATIONS.md.

Tab: Profile (#profile)

  1. Legal profile

    Name, email, phone, address, fiscal year start (MM-DD). Owner only.

  2. GST e-invoice (seller)

    Your GSTIN and registered address for sales invoice IRNs — not the platform API keys.

  3. Workspace appearance

    Upload logo and favicon; pick one of 50 theme presets with live preview.

  4. Save changes

    Applies profile and branding to this workspace only.

Platform GSP credentials live in Admin → Settings → GSTN e-invoice, not on your Profile tab.

Tab: Team (#team)

  1. Invite by email

    Colleague email + workspace role → Send invite. They must sign in with that email.

  2. Pending invitations

    Amber box — cancel invites that are no longer needed.

  3. Members

    Table of everyone; change role from dropdown (owner row is fixed).

You cannot invite someone as Owner — that role stays with the registering account.

Tab: Roles & access (#roles) — owner only

  1. Custom workspace roles

    Create named roles (e.g. Warehouse lead) for invites.

  2. Workspace access by role

    Owner and Administrator always have full access. For Sales, Purchase, etc.: Customize access → toggle module permissions → Save.

Sidebar: Team (directory)

Workspace → Team (/workspace/{your-company-slug}/team) lists name, email, and role — view only. Use Organization & team to invite or change roles.

Part 3 — Configure the company (first day)

Recommended first-day order: Plan & billingOrganization & team (Profile, then Team tab) → invite admins → Inventory setup.

Part 4 — Roll out ERP modules (recommended order)

As owner you can do all steps yourself or delegate. This sequence avoids rework:

    Add customers → quotation → sales order → invoice → payment receipt. See Sales guide.

  3. Accounting

    Post journals, run trial balance, P&L, balance sheet. See Accounting guide.

Part 5 — What only you (owner) can do

  1. Manage subscription and billing checkout
  2. Edit organization legal profile, logo, favicon, and workspace theme
  3. Create custom roles and edit the permission matrix
  4. Invite and remove members (unless delegated to Administrator)
  5. Access every ERP module regardless of role

Part 6 — Roles to assign when inviting

The owner role cannot be assigned via invite—it stays with the account that created the organization.

Part 7 — Your weekly routine as owner

  1. Monday: Dashboard → review open POs, low stock, overdue invoices.
  2. As needed: Activity log for disputes; Support for platform issues.
  3. Monthly: Billing renewal check; trial balance with accountant.
  4. Onboarding: New hire → invite on Team tab → point them to the team member guide.

Part 9 — Multiple companies

Use My workspaces from the account menu. Each workspace is isolated — products, vendors, and accounts never mix.
